Job Description

We are seeking a dedicated professional to expertly coordinate and manage events and catering throughout Nova Hospitality's various venues and concepts.

Coordinating and managing the seamless execution of events is the primary function of our Event Operations Manager. This encompasses managing logistics, coordinating effectively with Event Sales, venue management, chefs, and vendors, and ensuring the efficient oversight of operational facets such as venue management, staffing, and budget control. From initial planning through delivery and post-event follow-up, they hold responsibility for managing every stage of event operations. This role encompasses a broader range of food and beverage operations, including catering. 
Location: Austin, Texas - Onsite 

Key Responsibilities:

  • Direct partner and liaison with events & catering sales:
    • Overseeing event plans, guaranteeing that all logistical needs are fulfilled.
    • Assist in selecting and preparing locations.
    • Establishing appropriate setups.
    • May partner with the chef and beverage manager to create menus meeting client expectations and dietary requirements. 
  • Fulfilling staffing needs, creating staff schedules, delivering event instructions, and run of show.
  • Coordinating and overseeing non-revenue functions on behalf of Nova Hospitality and its brands
  • Partnering with suppliers to guarantee seamless event operations and on-schedule fulfillment.
  • Maintaining open communication with clients, event sales, Chefs, venue general manager, and other stakeholders. 
  • Analyzing event performance data to identify areas for improvement. 
  • Ensuring compliance with relevant health, safety, and operational regulations. 
  • Overseeing the full execution of events, including on-site management and problem-solving. 
  • Handle all logistics: load-ins, AV, permits, rentals, floor plans, vendor arrivals, client needs
  • Lead day-of event execution, ensuring a flawless guest experience
  • Maintain communication between venue operations, bar/FO
  • Contribute to the sales funnel of inbound and outbound bookings for private and corporate events
  • Track pipeline, respond to leads, close deals, and manage relationships
  • Represent the venue at industry events and networking activations
  • Oversee all (LZR) events (Internal or External)
  • Manage event budgets, track performance, and ensure profitability on third-party events
  • Develop systems and SOPs for scalable event execution
  • Serve as the client-facing liaison and primary decision-maker
